Pool Management Software Comparison: What Each Tool Does

Compare spreadsheets, DigiQuatics, HydroApps, scheduling software, and Poolean on the jobs a commercial pool team does every day.

Running a pool company5 min read

The useful question is which daily jobs each tool keeps in one place. Most tools cover one part of the work: scheduling, or water logs, or staff records. Poolean is built so a pool team can keep water tests, staffing, closures, site visits, maintenance, and tasks on one record for each pool, and keep working when the signal drops.

What are we comparing?

This sums up each vendor's own public pages, linked below. They are product descriptions, not hands-on tests, so ask each vendor to show you the jobs you need.

Record rules matter here too. The CDC's public pool operations guidance tells operators to follow the pool codes that apply to them, and MAHC 6.4.1.2.1 (check what your state adopted) keeps records at least 3 years, shown to the health authority on request. Ask every vendor how long records stay available and how you get them out.

Why do paper and spreadsheets fall short?

Paper and spreadsheets cost nothing to start, but someone has to build them, check them, and keep them up to date. A sheet makes it hard to keep a test photo next to the reading, record who approved a shift swap, or see which repairs are still open at which pool.

If you run more than a few pools, that work lands on supervisors. They end up chasing clipboards and group texts to find out what happened. Our guide to paper versus digital pool logs walks through the checks.

What does DigiQuatics describe?

The DigiQuatics modules page lists staff scheduling, a time clock, chemical records, custom forms, daily checklists, shift reports, feature inspections, maintenance issues, certification tracking, and in-service training tracking.

When we checked, the page did not mention working without a signal, photos on water tests, pool closures and reopening steps, supervisor site visits, or a read-only view for property owners.

What does HydroApps describe?

HydroApps sells separate tools in its product range: Pool Test, Schedule Manager, Staff Manager, Facility Manager, Compliance Manager, and Equipment Manager. You can buy the full set or start with one.

Its Pool Test page describes digital water test logs, trend graphs, out-of-range alerts, reports and exports, phone entry, and signature and time stamps. When we checked, its pages did not mention working without a signal, photos on water tests, pool closures, or forecasts.

What can a general scheduling tool cover?

As one example, When I Work's scheduling page describes availability, time-off requests, schedule templates, scheduling across locations, shift trades, task lists, and time tracking.

It is built for shift work in any business, not for pools. Water tests, closures, and repairs would still need to live somewhere else.

What does Poolean do?

Poolean is pool management software for commercial pool operators. Our product reference covers:

  • One record per pool. Water readings with test photos, staffing, closures, site visits, maintenance, and team tasks.
  • Every role. Lifeguards clock in and log tests from a phone. Supervisors check readings and record visits. Regional managers see every pool and assign tasks. Property managers and boards get a read-only view.
  • Work without a signal. Readings, notes, and photos keep their entry times and upload when the connection returns, with pending uploads marked.
  • Equipment lookup. Scan a QR code or tap an NFC tag to open an equipment record.
  • Forecasts and alerts. Early warnings before a reading goes out of range, leak flags, chemical reorder dates, swimmer and staffing forecasts, and inspection risk.
  • Logs. Daily or monthly logs you can print, save as a PDF, or download as a CSV.

Which tool lists which job?

We checked the vendor pages on October 21, 2026, and the table reflects only those pages. "Not on page" means we did not see it there, not that the tool lacks it, so ask the vendor.

What should you ask every vendor to show?

Use the same checklist for each option:

QuestionWhat to check in the demo
Can staff enter a record?Try the phone they will actually use, outdoors.
Can a manager review it?Find the original entry, the photo, and open follow-up.
What happens without a signal?Turn off the connection and enter a test.
Who can see or change records?Show guard, supervisor, manager, and owner views.
Can you take records out?Open a sample export outside the tool.
What will it cost?Confirm what the quote includes.

Use sample records without private staff details. Read how to manage multiple sites to plan the manager side of the demo.

The short version

  • Most tools cover one part of pool work; Poolean keeps the whole day on one record for each pool.
  • Paper and spreadsheets are cheap to start but put the checking work on supervisors.
  • Ask every vendor to show offline entry, test photos, closures, and owner views live.
  • Ask how long records stay available and how you get them out.

Questions people ask

How should you compare pool management software?

List the jobs your team does every day, then ask each vendor to show those jobs with a sample pool record. Check daily use, manager review, work without a signal, exports, and access.

Can you use a spreadsheet for pool records?

Someone has to build and maintain it, and keeping test photos, approvals, closure steps, and site visits together on each pool's record takes a lot of manual work that lands on supervisors.

What makes Poolean different from other pool software?

Poolean keeps water tests with photos, staffing, closures, site visits, maintenance, and tasks on one record for each pool. It works without a signal and gives property managers and boards a read-only view.

Does pool software guarantee a passed inspection?

No. Staff still need to do the required work and follow local health rules. Software keeps the records clear and easy to find.
