Lifeguard Certification Tracking Spreadsheet: What to Include

Build a lifeguard certification tracking spreadsheet with verified records, expiry dates, renewal steps, and clear manager checks.

A lifeguard certification tracking spreadsheet should have one row per certificate. Each row shows the course, the issuing body, the verified expiry date, any depth limits, who checked it, and the next renewal step. Check it before every schedule. Don't assume everyone on last month's schedule is still qualified.

Which qualifications should you track?

Start with what the pool and the job require. Under the CDC's 2024 Model Aquatic Health Code (MAHC 6.2.1; check what your state adopted), a qualified lifeguard:

  • Passed a lifeguard course the health department recognizes.
  • Holds a current certificate for it.
  • Finished the site's pre-service training.
  • Takes part in the site's in-service training.

Track CPR/AED and first aid as separate rows, even if one course covered them. The MAHC caps lifeguarding and first aid certificates at 2 years and CPR/AED at 1 year (6.2.1.3.5). The Red Cross says its lifeguarding certificates are valid up to 2 years. Under MAHC rules, that means checking CPR/AED dates every year.

What columns belong in the spreadsheet?

One row per certificate keeps separate expiry dates from hiding in one cell. The MAHC says a certificate should show the trainee's name, level of training, expiry date, any depth limits, the instructor and the agency (6.2.1.3.6). That makes a good column list:

FieldWhat it helps you check
Staff memberWhose record you are reviewing
Exact course nameWhat training the document covers
Issuing bodyWhere to verify it
Certificate referenceWhich document or lookup result supports the entry
Issue and expiry datesThe dates shown in the official record
Depth or other limitsFor example shallow water only, up to a set depth
Checked by and checked onWho verified the entry and when
Renewal actionWhat needs to happen next and who follows up
Review statusVerified, awaiting review, or expired

Depth limits matter. Under the MAHC, a guard certified for shallow water may not be assigned to water deeper than their certificate covers (6.3.4.3.3).

Keep documents where the responsible managers can reach them, and limit access to personal information. A shared shift schedule does not need certificate numbers.

How do you verify a certificate?

Use the issuing body's official process. The American Red Cross has a Find My Certificate tool. You can search by certificate ID, by the email used at the time of training, or by name and course completion date. Other agencies have their own lookup or contact process.

Match the official result to the staff member and the course you need. Record the dates exactly as shown. If the document and lookup disagree, mark the entry as awaiting review and contact the issuing body.

Keep verification separate from receiving a document. A file on record means you got it, not that anyone checked it.

Check a staff certificateA received certificate is checked through its official provider before dates, reviewer and renewal action enter a verified record; mismatches await review. Check a staff certificate Uploading a file is not checking it. Certificate received Start with the document provided. Official provider check Match the staff member, course and dates. Details match Details disagree Verified record Dates exactly as shown Reviewer: who checked it Renewal action: follow up Awaiting review Contact the issuing body. Resolve the mismatch. Keep blank dates visible.

How can you make expiry dates easy to review?

Use one date format throughout the sheet. Sort by expiry date and keep blank dates visible. A missing date needs follow-up.

Keep the expiry date and your follow-up date in separate columns. The expiry comes from the official record. The follow-up date is your team's reminder, set early enough to find a class before the season.

A simple status rule, with written labels and not just colors:

StatusWhenAction
VerifiedChecked, and not expiring before the schedule endsNone
Renew soonExpires within your follow-up windowNamed owner books a renewal class
Not verifiedMissing date or lookup not doneDo not schedule until checked
ExpiredPast the expiry dateDo not schedule. Follow the agency's renewal rules

What should happen when renewal is due?

Renewal windows are short, and they differ by source:

  • The American Red Cross lifeguard recertification page says its recertification course needs a current Red Cross lifeguarding certificate, or one expired by no more than 30 days. Past that, the person takes the full course. Passing renews the certificate for two years.
  • The MAHC says a certificate expired more than 45 days means retaking the course. At 45 days or less, the guard retakes it or completes a challenge program (6.2.1.3.7).

Expired is expired for scheduling, whatever the renewal window. Keep booking, attendance, passing and verification as separate steps. Do not mark a row verified because a class is on the calendar.

After renewal, check the new official record and update the row. The MAHC asks facilities to keep records at least 3 years (6.4.1.2.1), including in-service training records (6.3.3.4.1).

How should the record connect to scheduling?

Check qualifications before approving shifts and replacements. Review dates across the scheduled work period, including any expiry that falls during it. Our weekly lifeguard schedule guide explains how to keep assignment checks visible.

Check replacements the same way when someone calls out. Our call-out procedure guide covers that step.

Poolean shows shifts, clock-ins, callouts and coverage requests with recorded manager approvals, and keeps staff evaluations and feedback on each guard's record, so the certificate check sits right next to the staffing decision. See the staffing features or book a 30-minute call.

The short version

  • One row per certificate, with exact course name, dates and depth limits.
  • Verify each one through the issuing body's lookup.
  • Track CPR/AED on its own; the MAHC caps it at 1 year.
  • Book renewals early: the Red Cross recertification window closes 30 days after expiry.
  • Check the sheet before approving any shift or swap.

Questions people ask

What should a lifeguard certification spreadsheet include?

Include the staff member, course, issuing body, certificate reference, issue and expiry dates, verification record, and renewal follow-up. Check the required qualifications against local rules and the assigned role.

How do I verify a lifeguard certificate?

Use the issuing body's official lookup or contact process. Match the result to the staff member and record when and by whom it was checked.

Does booking a renewal class extend a certificate?

No. Only a completed course extends it. The American Red Cross says its recertification course needs a current certificate or one expired by no more than 30 days, so book early.

How long is a lifeguard certification valid?

The American Red Cross says its lifeguarding certifications are valid up to 2 years. The CDC's model code caps lifeguarding and first aid at 2 years and CPR/AED at 1 year, where adopted.

Who should update certification records?

Give a named manager responsibility for checking and updating the records. Record who verified each entry and when, so other managers can follow the check.
