Pool management software for commercial operators: how the options differ
Route software, aquatics staff software and commercial operator software do different jobs. Here is who each one is written for, from their own public pages.
Pool software splits into a few groups that were built for different jobs. Some tools are for a company that sends technicians to customers' pools. Others are for the staff of a facility. If you run commercial pools with lifeguards on deck, supervisors visiting sites and a health inspector who can ask for your logs, start with the group that matches that, then check the details in a demo. Everything below comes from each vendor's own public pages, last checked 29 Oct 2026.
What are the main kinds of pool software?
- Route and service tools. Skimmer, Pool Brain, ServiceTitan and PoolTrackr. Built for a company that serves other people's pools: routes, quotes, invoices, customer reports and chemical dosing for the technician.
- Aquatics staff and record tools. DigiQuatics and HydroApps. Built for the people who run a facility: staff schedules, certifications, checklists and water test logs. General schedulers such as When I Work also show up here, though they are not made for pools.
- Commercial operator tools. Poolean. Built for operators who run many commercial pools: one record for each pool with water tests and photos, closures, staffing, site visits and maintenance, reviewed by supervisors and regional managers.
The groups overlap. A route tool logs readings, and a facility tool lists maintenance issues. The question is which job each tool was built around.
Who is each tool written for?
| Tool | Group | Who its pages are written for |
|---|---|---|
| Skimmer | Route and service | Pool service companies. Routing, scheduling, billing, customer reports. Poolean vs Skimmer |
| Pool Brain | Route and service | Pool companies. Quotes, jobs, invoices, routing, chemical dosing and alerts, and an app that works without a signal. |
| ServiceTitan | Route and service | Pool and spa service contractors. Dispatch, invoicing, estimates, memberships and marketing tools. |
| PoolTrackr | Route and service | Pool and spa businesses. Its site says it is currently available in Australia and New Zealand. |
| DigiQuatics | Aquatics staff and records | Cities, parks departments, Ys, clubs and schools. Scheduling, time clock, chemical records, certifications, lessons. Poolean vs DigiQuatics |
| HydroApps | Aquatics staff and records | Aquatic facilities. Six separate products for water tests, schedules, staff, checklists, compliance and equipment. Poolean vs HydroApps |
| When I Work | General scheduling | Shift work in any business, not pools. Shifts, time-off, shift trades and time tracking. |
| Poolean | Commercial operator | Commercial pool operators and their lifeguards, supervisors, regional managers and property managers. |
Which jobs does each tool list?

What does Poolean do?
Poolean is pool management software for commercial pool operators. It is a web app used on phones and computers.
- Water tests. Lifeguards enter free chlorine and pH, take a photo of the test tube next to the color slide, and see a suggested dose. Supervisors review flagged readings beside the original record.
- Staffing. Shifts, clock-ins, call-outs and coverage requests, with approvals recorded.
- Closures. A closure is recorded with a reason and a time, and the reopening steps are tracked.
- Oversight. Site visits, guard photos, tasks from regional managers, and a Needs Attention list across pools. Property managers and boards get a read-only view.
- Maintenance. Scheduled work, repair orders, chemical and parts requests, and QR or NFC equipment lookup.
- Logs and inspection prep. Daily or monthly logs you can print, save as a PDF or download as a CSV, plus a flag for sites that need attention before a health inspection.
- No signal. Notes, readings and photos entered without a signal upload when the connection returns.
Poolean does not do routes or customer invoicing. Pricing depends on how many pools you run; we give you a quote on a 30-minute call.
How should you choose?
- Decide who does the work: technicians on a route, or staff on site at each pool.
- Write down the records you must keep. The CDC's Model Aquatic Health Code says pool records are kept at least 3 years and shown to the health department on request; your state or county may set its own rules.
- Ask each vendor to run the same sample day: a water test with a photo, a correction, a closure, a coverage request, and an export.
- Ask what works without a signal, who can see what, and what the quote includes.

Questions people ask
What is the difference between route software and aquatics software?
Route software is built for a company that drives technicians to customers' pools: routes, quotes, invoices and customer reports. Aquatics software is built for the staff of a facility: schedules, certifications, checklists and water test logs.
Which pool software is for commercial pools with lifeguards?
DigiQuatics and HydroApps list lifeguard scheduling and water test logs for aquatic facilities. Poolean is built for commercial pool operators and keeps water tests with photos, staffing, closures, site visits and maintenance on one record for each pool.
Can software guarantee a passed health inspection?
No. Your staff still do the work the code requires. Software keeps the records clear and easy to find.
